01Information we collect

Depending on your enquiry or order, we collect your name, telephone number, email address, billing or delivery address, and relevant order or project details. These may include measurements, cut lists, drawings, photographs and messages you provide.

Please do not send identity documents, passwords or payment-card details through our chat services.

02How we use your information

We use your information to answer enquiries, prepare quotations, process orders, arrange fulfilment, provide customer support and send relevant order updates.

Authorised staff may review recent conversations to improve our service. We do not sell personal data or use your enquiry for unrelated marketing without the necessary consent.

We collect, use and disclose personal data for the purposes explained to you, with your consent or where otherwise permitted or required by law.

03WhatsApp and automated assistants

Our WhatsApp service may direct you to the relevant brand and its assistant, including Kai for PlyCut and Yin for KYVON when available. Automated assistants will identify themselves.

Messages are used to answer your enquiry and help prepare your order. You may request assistance from a person at any time.

Where automated WhatsApp updates are enabled, reply STOP to stop them or START to resume. Stopping updates does not cancel an existing order.

PlyCut’s Kai assistant currently uses our own rules engine. It does not send chats to an external AI service to generate answers.

04How long we keep information

We retain personal data only for as long as needed for its business purpose, accounting, legal obligations or unresolved disputes.

For PlyCut’s website ordering system:

• Chat history and unconfirmed chat drafts are cleared after 14 days without a customer message. Confirmed orders are stored separately.
• Minimal records of STOP and staff-handoff choices are retained so we continue to respect them.
• Completed orders become eligible for archiving after 90 days.
• Order records are retained for seven years after completion under our accounting and audit retention policy, or longer where necessary for legal obligations or unresolved disputes.
• A website order copy is removed only after its private archive has been safely stored and verified. During testing, archive storage is still being arranged and order records are not automatically removed after 90 days.

These chat-deletion periods do not remove messages from your WhatsApp application, Meta’s systems, email accounts or separately held backups.

Other Kai Yin and KYVON records are retained according to their purpose and applicable business or legal requirements.

05Access, service providers and security

We limit access to authorised staff and service providers who need the information to support our services or fulfil your request.

Depending on the service used, providers may include Cloudflare for domain routing, Spaceship for website hosting, Microsoft 365 for email, Meta for WhatsApp, and relevant delivery or fulfilment providers.

Some providers process information outside Singapore. Where required, we take steps to ensure comparable protection under Singapore’s PDPA.

We use reasonable security measures to protect personal data. No internet service can guarantee absolute security.

06Cookies and browser storage

Our websites may use essential cookies and browser storage for functions such as sign-in and saving an unfinished order. You can manage these through your browser settings.

Optional analytics and advertising trackers are currently disabled on PlyCut. Other websites or services will provide information about any additional tracking they use.

07Changes to this policy

We may update this policy when our services or data-handling practices change. The latest version and its update date will appear on this page.
